Records of Executive Secretary

The Executive Secretary is responsible for the following: keeping a record of proceedings of the Conference; keeping an accurate roll of members and compiling other statistics concerning pastoral charges and ministers; conducting correspondence pursuant to the proceedings of the Conference; facilitating Presbytery procedures with training and support; acting as a resource person in new church development areas; and communicating and interpreting the policies and actions of the national Church Offices.

The Executive Secretaries of Manitou Conference have been: Fred A. Sorenson (1975-1984), J. Stewart Bell (1985-1997), George H. Lavery (acting, 1998), James H. Sinclair (1999-2002), Robert L. Jackson (2002-2004), and William A. Kunder (2004-2018).

Records of Proceedings of annual and general meetings

Manitou Conference met annually from 1975 to 1992; however, at the 1992 annual meeting, Conference moved to meet every two years. Series consists of the record of the Conference's annual meeting, referred to as the "Record of Proceedings." In addition to the minutes of the annual meeting, a Record of Proceedings may also include a history of the Conference, compiled minutes of the Executive Committee meetings for that year, reports and the agenda distributed prior to an annual meeting, a Conference directory and an index of motions. Series consists of official and unofficial records of proceedings of annual/general meetings and executive minutes, 1975-2012; annual meeting report books, 1989-1995; and general meeting correspondence and reports, 2002-2003, 2007. Records of Proceedings and executive minutes from 1982 to 1990 are bound.

Records of the Conference Minister of Mission and Stewarship

The position of the Conference Minister of Mission and Stewardship was responsible for: providing staff leadership, support and liaison in the areas of church life that were served by the National Division of Mission in Canada and the Department of Stewardship Services and their subsequent bodies; providing administrative support to committees and pastoral charges in the areas of grants and other funding sources; exploring and developing the Conference role in relation to innovative evangelism, outreach and social issues; and engaging in ecumenical, community and personal ministries that will enhance the mission of the church. It was later named Minister of Mission & Stewardship Animation in 2008. Subseries consists of correspondence of the Conference Minister of Mission and Stewardship, 1985-1992.

Records of the Conference Personnel Minister

The Conference Personnel Minister is responsible for: providing pastoral care and counsel to members of the Order of Ministry and their families; counseling members of the Order of Ministry in continuing education, career development, and preparation for retirement; working in close relationship with all committees related to personnel, and interpreting to Conference the policies and procedures of the National Division of Ministry, Personnel and Education. From 1985-1987, the Personnel Minister also was responsible for work relating to world outreach. Subseries consists of the correspondence of the Conference Personnel Minister, 1988-1992.

The Conference Executive is appointed by Conference with duties and powers as determined by the Conference. The Executive may for example be given the power to act for the Conference between its regular general meetings or to act for the Conference by Commission.
