Series consists of bound Records of Proceedings of the Conference's annual meetings, 1925-1999, 2012-2015. The terms "record of proceedings" and minutes" are used interchangeably to refer to the record of the Conference's annual meeting. While this form of record always includes the minutes of the annual meeting, it can also include some combination of the following: lists of members of the Executive and other Committees; a history of the Conference; minutes of the Executive Committee meetings for that year; and reports submitted prior to Conference by various committees. After 1960 the Record of Proceedings could also include an indexed or abbreviated record of decisions from the annual meeting and a bound agenda, printed separately, including committee reports. Of the Records of Proceedings, 1925-1987, those for 1925 through 1946 include a bound booklet, printed separately, entitled "digest of minutes of Conference" and could have been intended for distribution following the annual meeting. The digest of minutes is the only record of Conference available for 1947-1948 and 1951-1956. After 1956 the Records of Proceedings are printed and bound individually for each year. There are only report books for the years, 1988, 1990-1991, 1993, 1996, 1998-1999.

The Conference Executive is appointed by Conference with duties and powers as determined by the Conference. The Executive may for example be given the power to act for the Conference between its regular meetings or to act for the Conference by Commission.

The Executive Secretary title was created in 1971, and was based on the former Secretary position: responsibilities included keeping a record of proceedings of the Conference; keeping an accurate roll of members and compiling other statistics concerning pastoral charges and ministers; conducting correspondence pursuant to the proceedings of the Conference; facilitating Presbytery procedures with training and support; acting as a resource person in new church development areas; and communicating and interpreting the policies and actions of the national Church Offices.

The Division of Finance and Administration was formed in 1973, and included the Archives, Church Property, Presbytery Boundaries and Nominations Committees. The Division's purpose was to act as a service Committee to the Conference Executive Secretary and the various Conference Committees in the areas of finance, policy implementation, fiscal affairs, nominations, stewardship, church property and archives, and later Fairfield Museum and incorporated ministries.
